All exhibitors must provide proof of insurance and may fulfill this requirement using one of the following options:

OPTION 1: Provide Your Own Insurance Certificate

Submit a certificate of liability insurance from your insurer that meets the specifications below.

Additional Insured:

The following must be listed as additional insureds:

• Western Fair Association

• Corporation of the City of London
  300 Dufferin Ave, London, ON N6A 4L9

Specifications:

• General Liability Coverage: Minimum $2,000,000

• Coverage must include bodily injury and/or property damage

• Coverage must be valid for the entire occupancy period:
  February 1–5, 2027
  (Policy term must include all move‑in and move‑out dates)

Conditions:

• Exhibitors must hold harmless the Western Fair Association and the Corporation of the City of London against all liability claims.

• Failure to provide proof of insurance may result in:

  • Immediate termination of your contract;

  • Forfeiture of all deposits; and

  • Removal from the show without further consultation or financial recourse.

• Exhibitors without Comprehensive General Liability insurance are considered personally liable.

• The Owner reserves the right to request additional insurance coverage if required based on the exhibitor’s activities, staff, contractors, or operations on-site.

If any required information is missing or incorrect, the certificate will not be approved.

OPTION 2: Purchase Insurance Through the Official Provider

You may obtain insurance coverage from Vendor Insurance LTD, the official insurance partner of the Western Fair.
Vendor Insurance LTD specializes in special event insurance and provides affordable exhibitor coverage tailored to vendor needs. This form can be downloaded from the Exhibitor Portal.

Exhibitors will receive a set number of complimentary exhibitor badges based on the total booth space purchased. A 10' × 10' booth includes six (6) exhibitor badges, with two (2) additional badges for each additional 10' × 10' booth, up to a maximum of 30 badges per exhibitor.

Additional Badges 
If you require more badges than those included with your booth, additional badges may be purchased for $12.50 each (HST included) through the “Additional Purchases” tab in the Exhibitor Portal prior to the Show.

Badge Pick‑Up Information

• Badges may be picked up at the Show Office beginning Monday, February 1st (first day of move‑in)

• Any remaining badges will be transferred to the Will‑Call station in the main lobby one (1) hour before the Show opens to the public and will remain available there during Show hours

• Badges will not be mailed

• Electronic badges are not available

• Badges are non‑refundable

Shipments will be accepted beginning on the first day of exhibitor move-in. If you need to arrange delivery prior to this date, please contact our official show service provider, Boneyard Event Services, to make the necessary arrangements.

Please note that on-site crate storage is not available in the J-AAR Expo Centre.

Empty crates may be stored outdoors along the rear fence line of the building at the exhibitor's own risk. Please ensure all items are clearly labeled with your company name and booth number.

• Please ensure all displays, equipment, and materials can be safely accommodated through the facility access door during move-in and move-out.

For First Aid or Security and Lost & Found assistance, please visit the Show Office, located on the north wall of the Pavilion.

During move-in all gates and parking lots will be open. Do not park in any designated fire lanes or ‘no parking’ zones.

Exhibitors are recommended to park in the corner lot of Rectory Street and York Street. Any large equipment or trailers must be parked in this area.
